## Description

AJ Media builds, scales, and operates a portfolio of ecommerce brands end-to-end. This is an execution-focused administrative role supporting AJ Media's ecommerce store operations — the day-to-day admin work underneath what the COO/Operations function owns strategically. You'll handle storefront listing upkeep, order/fulfillment tracking, reporting support, and SOP maintenance across our brand portfolio. Strategic decisions stay with the COO.

About the Role

This is an execution-focused administrative role supporting the COO, who holds single-point accountability for taking AJ Media's brands from zero to fully operational. This role handles the administrative legwork behind merchant setup, and site launch coordination, the checklist-running, document-gathering, dashboard-tracking work, while judgment calls, sign-offs, and final accountability stay with the Brand Launch Manager.

_**What You'll Do**_

Brand Administration & Merchant Setup Support

\- Purchase domains and set up brand-level admin tasks as instructed

\- Gather, organize, and prepare documentation for merchant account applications ahead of COO review and submission

\- Maintain and update the brand setup and compliance checklist — tracking status against requirements, not defining them

\- Set up helpdesk/ticketing infrastructure using established categories, auto-responses, and escalation rules

\- Assemble and organize 3PL agreement and returns paperwork; route to the Supply Chain Manager as needed — paperwork only, not the vendor relationship

Shopify Site Build & Launch Coordination Support

\- Execute Shopify store setup tasks as directed: product listing entry, pricing updates, collections setup (not theme architecture or developer-level work)

\- Track platform integration checklist status (payment gateways, email marketing tools, review apps, analytics, fulfillment) — confirming items are connected, not architecting them

\- Run the pre-launch QA checklist and log results (checkout flows, order confirmation triggers, mobile performance, pixel/analytics firing); escalate failures to the COO — not authorized to sign off on go-live

\- Update and maintain launch SOP documents

## Requirements

1-3 years of administrative, project-coordination, or ecommerce support experience

\- Highly detail-oriented and organized, comfortable following checklists precisely and without dropping items

\- Basic familiarity with Shopify at a listing/content-entry level (not developer level)

\- Comfortable with spreadsheets, trackers, and basic dashboard monitoring

\- Clear written communication for coordinating with vendors, developers, and internal team members

\- Comfortable working with structured guidance and defined checklists — this is a supporting role, but can work autonomously

Preferred

\- Exposure to merchant account or payment processor documentation

\- Familiarity with the AJM our stacks: Shopify, Klaviyo, Gorgias, AirCall, CheckoutChamp a plus.

\- Experience supporting multiple brands or entities simultaneously
