## Description

Office Administration/Operations

-   Monitor staff & daily office operation work
-   Check/monitor Eyeshare team daily performance, invoices scanning cross check report
-   Sign sea crew contracts, confirmation letters, termination letters
-   Check and approve payment for monthly office expenses/check MYR bank reconciliation/fund projection
-   Monitor and check operation funding (MYR)
-   Check and follow up with Risk Management HK to ensure the Ship Management Agreement to be sent and file in Labuan.
-   Arrange to apply documents (from the Authority) requested by Risk management.

Statutory compliance

-   Local statutory company secretarial work
-   Prepare directors' resolution (enter to new ship management and Dividend payment) and arrange signing
-   Arrange any urgent request from AE HK to obtain/apply relevant documents such as Letter of Incumbency, Tax residency letter, CTC AEL documents etc
-   Attend Directors' meeting
-   Attend authority briefing whenever there is a change of tax rule, regulations etc
-   Handling due diligence request from the Authorities & Trust company

HR

-   Check and arrange payroll
-   Check and approve payment for monthly statutory contribution (Staffs)
-   HR ad hoc matter such as deal with insurance company to purchase staff's medical/hospitalization insurance, update staff's handbook due to amendment of the
-   Employment act, handling staff's working issue etc.
-   Cheking and file company's employees tax return with tax authority
-   Handling all statutory amendment related to employees (eg Labour law amendment)
-   Staff recruitement/Temp staff recruitement to replace staff on maternity/emergency etc

Project follow up/Ad hoc

-   Yearly budget (expenses)
-   Half-yearly forecast
-   Liase with auditors yearly and arrange signing with Director
-   Liase with local IT vendor on office pc's health check/cooperate with network upgrade/new project etc
-   Update BCP yearly and execute whenever necessary
-   Personal data relevant guidelines/letters update if any
-   E-Invoice matter

## Requirements

-   A Bachelor’s Degree in Business Administration, Operations Management, Finance, or a related discipline.
-   Minimum 3 years of relevant operational experience.
-   Demonstrated experience in managing operational teams, budgets, performance targets, and business processes.
-   Familiarity with Labuan regulatory frameworks, including the Labuan Business Activity Tax Act (LBATA) and related compliance requirements applicable to Labuan entities, would be an added advantage.
-   Strong interpersonal and leadership skills with the ability to manage and motivate teams to support business and operational goals.
-   Ability to oversee daily operational activities and contribute to the effective delivery of services and business continuity.
-   Sound knowledge of operational planning, resource allocation, budgeting, and cost control.
-   Strong analytical and problem-solving skills with the ability to make informed decisions and manage operational risks effectively.
-   Good communication skills and the ability to build positive working relationships with internal and external stakeholders.
