### Project Coordinator (Technical Office)

**Location:** Cape Town, Western Cape

### About the Role

Our client, a well-established company in the construction industry, is seeking a highly organised and technically minded **Project Coordinator (Technical Office)** to join their team.

This role is critical in ensuring that construction projects are fully coordinated, documented, procured, and ready for execution before work begins on site. Acting as the central point of coordination between the Technical Office, Quantity Surveying, Procurement, Workshop, and Site Operations teams, you will ensure that all project information, materials, and documentation are in place and that deadlines are met across departments.

### Key Responsibilities

### Project Coordination

-   Open and establish new projects and maintain complete project files.
-   Coordinate and manage all project documentation.
-   Maintain project programmes, trackers, and action lists.
-   Monitor project progress from award through to completion.
-   Follow up on outstanding actions and ensure departmental deadlines are met.
-   Prepare weekly project status reports.
-   Coordinate internal project meetings and distribute minutes.

### Technical Office Administration

-   Maintain drawing registers and ensure only current revisions are issued.
-   Coordinate architectural, engineering, and supplier information.
-   Track and manage Requests for Information (RFIs).
-   Ensure project documentation is complete, accurate, and easily accessible.
-   Prepare project execution packs for Operations.

### Commercial & Costing Coordination

-   Monitor quotation and project costing progress.
-   Follow up with the Quantity Surveyor regarding outstanding information.
-   Maintain quotation and tender trackers.
-   Record approved project variations.
-   Ensure all commercial information is complete before project handover.

### Procurement Coordination

Working closely with the Procurement team, you will:

-   Monitor procurement status across all projects.
-   Track purchase orders and supplier lead times.
-   Identify long-lead items and procurement risks.
-   Confirm expected delivery dates and align procurement with project programmes.
-   Ensure materials are available when required and keep project teams informed of progress.

### Workshop Coordination

-   Coordinate workshop production schedules.
-   Ensure workshop drawings are available and up to date.
-   Monitor fabrication progress and coordinate drawing revisions.
-   Conduct routine workshop quality inspections.
-   Coordinate steel, timber, and specialised manufacturing requirements.

### Site Readiness

Before projects are handed over to Operations, ensure:

-   Approved construction drawings have been issued.
-   Engineering approvals are complete.
-   Materials have been ordered and delivery dates confirmed.
-   Workshop production and fabrication are complete where required.
-   Plant and equipment are booked.
-   Health & Safety and site documentation are prepared.
-   Technical queries have been resolved.
-   Quality documentation is complete.

### Executive Support

Provide administrative support to the Operational & Technical Director by:

-   Managing technical correspondence and meeting schedules.
-   Preparing reports and project summaries.
-   Following up on delegated actions.
-   Monitoring critical deadlines.
-   Maintaining technical office systems and records.

### Success in This Role

-   Ensure projects never commence with missing drawings, materials, or documentation.
-   Coordinate procurement and workshop activities in line with project programmes.

-   Facilitate effective communication between Technical, Procurement, Workshop, and Operations teams.

## Requirements

### Qualifications

The ideal candidate will hold one of the following:

-   Diploma in Civil Engineering;
-   Diploma in Construction Management;
-   Diploma in Architectural Technology; or
-   Quantity Surveying qualification with strong technical understanding.

Equivalent practical construction experience will also be considered.

### Experience

-   Minimum of **3 years' experience** within the construction industry.
-   Experience in project administration and coordination.
-   Strong understanding of construction drawings and documentation control.
-   Procurement coordination experience.
-   Workshop or manufacturing exposure advantageous.
-   Strong proficiency in Microsoft Office and Microsoft Excel.
-   Experience managing multiple projects simultaneously.
