**About the role**

As a Talent Administrator, you will be a key part of our People team, responsible for maintaining up to date Recruitment function systems and helping us deliver efficient, effective Talent sourcing and management processes. Your role will involve ensuring a great experience for our candidates – both permanent, interim and contractor – and tracking and reporting on progress against key Recruitment and Associate metrics. Wherever required, you will be flexible and agile in supporting administration across the People function given People priorities and team annual leave. This could include maintaining the HR system, supporting creation and issuing of key HR documents, managing People function inboxes and triaging accordingly, or scheduling learning and engagement events, for example.

**Responsibilities**

Your responsibilities will include, but are not limited to: 

**Recruiting** 

-   Recruitment system: Maintain Workable with up-to-date information across all live roles both within candidate profiles and also across feedback and process. 

-   Interview scheduling: Partner with the Recruitment Manager to schedule interviews for candidates with appropriate interviewers and in appropriate timeframes / alignment to agreed Recruiting priorities. This includes proactively pursuing and, where needed, respectfully challenging busy interviewers to secure their availability and keep candidate timelines on track. Ensure internal only parallel invites contain the right materials for the interviewer. Where relevant ensure any advanced tasks requiring preparation or take based assessments are sent out as per the schedule.  

-   Candidate experience: Ensure the highest professionalism and experience for candidates through your interactions with them in the context of scheduling. Partner with the Recruitment Manager to ensure no candidates face delayed interview process times due to CF related factors. 

-   Simple Recruiting requests: Triage recruitment requests dealing with administrative questions / requirements directly and efficiently. 

-   Sourcing: Partner with the Recruitment Manager to assist in identifying excellent candidates for roles leveraging AI and the tools the Recruitment team is using and building. Work with relevant EAs of Managing Partners and Partners to get high quality, engaging reach out to select candidates through their LinkedIn profiles.  

-   Room preparation: Be present and available to collect candidates from Reception and get them into the meeting room ahead of scheduled interviews. Prepare all meeting rooms for interviews including set-up, water for the candidate and interviewer, IT connections set up where these are required. Liaise with the Recruitment Manager and the Office Manager or other EAs / PAs to ensure room set-up and collection is agreed with all arrangements in place where this is not you.  

**Resourcing (Associates)** 

-   Associate interview scheduling: Schedule interviews for potential Associates that have been identified by Resourcing / Ops / Recruitment team with the appropriate interviewers. Ensure internal only parallel invites contain the right materials for the interviewer. Where relevant ensure any advanced tasks requiring preparation or take based assessments are sent out as per the schedule. 

-   Recruitment system: Ensure all Associate profiles who go to a first round interview are on Workable with comments and feedback captured accordingly. There will be some backward-looking data capture and clean-up to get the system up to date in the first few months. 

-   Associate tracker: Own and champion the Associate Resourcing tracker and ensure the CMaP system reflects the correct data – both in terms of level of detail and accuracy. Partner with Resourcing and Ops to update or correct the system as required. 

-   Associate management: Work with Resourcing consultant to reach out to Associates periodically and as agreed to understand availability and stay in touch.  

-   Associate contracts: Administer associate agreement contracts with input from HR consultant or CPO as required 

**Reporting and communications** 

-   Communications: Help Recruitment Manager to draft high quality, compelling updates to the SLT and wider leadership team regarding Permanent and Associate hiring 

-   Reporting: Leveraging the Workable system as well as Associate tracker / CMaP, report on progress against key Recruiting and Associate metrics every week and month 

**People Team support and function coverage** 

Due to the nature of where the business is given high growth and changing priorities, you will be flexible in the scope of your support based on wider People team priorities, leaning in where needed from an administrative perspective. This includes but is not limited to the following: 

-   People team scheduling: Ensure all weekly People team meetings (joint team and 1:1s) are scheduled with room bookings secured. 

-   People systems: Help to maintain the HR system and the Learning Management system as needed if other team members are on leave. 

-   Simple HR requests: When the People Advisor is out, support the CPO with basic HR processes and documents such as BPSS (screening), offer letters, contract administration, acceptance letters, etc.  

-   Learning session scheduling: Ensure learning session logistics are sorted and correctly reflected in the LMS 

-   New joiner onboarding: Ensuring induction sessions are planned and the rooms are ready, also helping to welcome colleagues on their first day and support associated logistics.

## Requirements

**Mandatory** 

-   Skills in Microsoft Excel to facilitate reporting and basic analysis of data 

-   Demonstrated ability to manage multiple tasks simultaneously, ensuring accuracy and timeliness. 

-   Understanding of, and rigour in following, structured recruitment and HR processes end-to-end – meticulous about knowing which step comes next and making sure each is completed in the right order. 

-   Strong organisational skills with attention to detail. 

-   Excellent written and verbal communication skills. 

-   Excellent interpersonal skills to collaborate effectively with cross-functional teams and to build good rapport and help to deliver an excellent candidate experience 

-   Confidence and tact to follow up with, and where needed respectfully challenge, busy senior stakeholders on their availability – securing interview slots and keeping candidate processes moving to time 

-   Competent using Claude or other AI tools to make processes more efficient and effective 

**Highly desirable** 

-   Educated to a degree level, or equivalent experience 

-   Familiarity with Workable or other Recruitment and HR systems (Sage HR highly desirable)
