Join our team at the Coral Casino Beach & Cabana Club as Events & Communications Coordinator.

Under the supervision of the Director of Programming & Communications, the Events & Communications Coordinator will play a creating exceptional experiences for Coral Casino Members and Guests through thoughtful event planning, seamless execution, and engaging communication. This position supports the Director of Programming & Communications in coordinating Club programming, private events, member communications, and marketing initiatives while serving as a hospitality-driven ambassador of the Club. The ideal candidate is highly organized, detail-oriented, creative, and service-focused, with the ability to manage multiple projects while maintaining the highest standards of professionalism and member service.

**This position is compensated at $26.00-$32.00 per hour depending on experience and is eligible for commissions on club private event sales.**

**What You'll Do**

-   Prepare detailed and professional correspondence, including marketing emails, newsletters, event announcements, contracts, banquet event orders (BEOs), event schedules, menus, signage, reports, and other event-related materials.
-   Coordinate and prepare member communications and event marketing, including weekly and monthly email campaigns, event announcements, booking platforms, and departmental calendars. Collaborate with the Director of Programming & Communications, General Manager, and department heads to ensure communications are accurate, timely, and aligned with Club standards.
-   Assist the Director of Programming & Communications with planning and execution of all In House & Programming Event details including budgeting, ordering, design, marketing, booking vendors, resume creation, checklists, etc.
-   Assist with event design and planning by creating presentation materials, coordinating rentals and décor elements, and supporting the overall vision and execution of Club events.
-   Serve as a primary liaison with Director of Programming & Communications between clients, vendors, and operational departments by coordinating contracts, payments, planning meetings, event timelines, and day-of-event logistics to ensure seamless execution.
-   Maintain event management systems, including creating and updating bookings, managing function diaries, preparing banquet event orders, and ensuring event details remain accurate and up to date.
-   Market and manage events through designated Club platforms, including Pacesetter, 7Rooms, Outlook, and Tripleseat.
-   Greet and interact with Members, guests, vendors, and colleagues in a courteous, attentive, and service-oriented manner. Respond promptly and professionally to phone calls, emails, and inquiries while ensuring requests and expectations are handled efficiently and accurately.
-   Provide leadership and operational support during events, including team briefings, event setup and breakdown, vendor coordination, and execution of holiday and signature Club events.
-   Assist with banquet and event equipment inventories and help ensure all events are properly equipped to meet operational and service standards.
-   Responsible for keeping Event Sales menus and documents up to date.
-   Communicates needs of members to management. Informs management of any member feedback.
-   Coordinate the organization and distribution of event photography and related member communications following Club events.
-   Attend department and Club meetings and prepare reports, presentations, and event documentation as requested.
-   Follow all Club policies, procedures, and service standards while maintaining the highest level of professionalism, hospitality, and attention to detail.
-   Remains attentive, friendly, helpful, and courteous to guests, managers, and fellow employees at all times.
-   Acts as a leader on the team-wants to make the operation better and does so by inspiring those around them to do the same.
-   Performs any other duties assigned.

## Requirements

-   Minimum one year in event coordination.
-   Diploma/College/Bachelor’s Degree or a relevant field of work or an equivalent combination of education and work-related experience.
-   Basic knowledge of food and beverage operations.
-   Frequently stands/walks for prolonged periods of time, for at least eight hours.
-   Ability to climb stairs, balance, stoop, kneel, crawl, crouch, bend, stretch, twist, and reach, push, pull, carry, and lift at least 25 pounds; ability to move furniture.
-   Ability to withstand continuous repetitive motions.
-   May be exposed to loud noise.
