## Description

You will serve as the operational and technical backbone of the AI programme, responsible for ensuring that all sessions, content, knowledge resources, and data systems are well-managed, up to date, and accessible to officers across the organisation. You will bring a technical edge to programme operations, leveraging data, automation, and AI tools to improve how the programme runs and how its impact is tracked and communicated. You will also provide operational support to the AI Adoption & Engagement team across key programmes such as AI Champions and Hackathons.

**Responsibilities:**

-   Plan and coordinate all sessions, including scheduling, sending invites, and ensuring all materials are prepared and ready ahead of each session.
-   Build and maintain dashboards and data visualisations using Power BI to track AI adoption metrics, participation, and programme outcomes.
-   Develop and maintain a structured data model for tracking AI adoption metrics, ensuring data is clean, consistent, and meaningful for reporting purposes.
-   Build Power Automate pipelines to automate programme workflows and reduce manual administrative work.
-   Explore and implement the use of AI tools to automate parts of the knowledge management and documentation process, improving efficiency and consistency.
-   Research and evaluate new AI tools and technologies and produce short accessible reports summarising their potential use cases and relevance
-   Provide operational support to AI Champions and Hackathon programmes, including helping out at events, preparing materials, and tracking outcomes and participation.
-   Create and maintain all content resources including slides, knowledge bases, AI workflow templates, and guides to help officers apply AI tools effectively.
-   Document wins, use cases, before/after examples, and innovative AI solutions surfaced by officers throughout sessions.
-   Compile lessons learned, best practices, and case studies on an ongoing basis to build a growing knowledge base for the organisation.
-   Maintain the InnoLab Idea Bank repository to track progress, findings, and outcomes from various AI and automation internal programmes.
-   Identify and share relevant AI services and resources from GovTech and public sources to keep the organisation informed of available tools and opportunities.
-   Any other duties as assigned.

## Requirements

-   Diploma or Degree in Information Technology, Computer Science, Data Analytics, Information Systems, or related disciplines.
-   Experience in maintaining data dashboards and reports using tools such as Excel and Power BI to support data-driven decision making.
-   Comfortable building automation pipelines and workflows using tools such as Power Automate.
-   Good organisational skills and attention to detail, with the ability to manage multiple tasks and deadlines.
-   Good content creation and knowledge management skills, with an eye for organising and presenting information clearly for different audiences.
-   Proficiency in productivity and collaboration tools such as SharePoint and Microsoft Teams.
-   Interest in AI or digital transformation initiatives is an advantage.

**Technical Competencies**

The Assistant Manager should be comfortable working with data tracking and reporting tools, including Excel and Power BI, and able to maintain operational dashboards and a structured data model for tracking AI adoption metrics. They should have hands-on experience or strong interest in building Power Automate pipelines to automate programme workflows and be comfortable exploring the use of AI tools such as ChatGPT, Gemini, and Claude to automate knowledge management and documentation processes. Over time, the Assistant Manager is expected to develop a stronger understanding of how AI systems are deployed and managed at a programme level and be comfortable identifying and evaluating relevant AI tools and services from sources such as GovTech to support the team's work.
