## Description

The following are the core responsibilities of the receptionist/administrator. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:

-   _Using specialist tools to extract the data needed_
-   _Responding to data-related queries and keeping track of these_
-   _Analysing data to identify trends_
-   _Setting up processes and systems to make working with data more efficient_
-   _Researching new ways to make use of data_
-   _Producing reports and charts communicating trends within data to non-specialists_
-   _Presenting information generated from data to clients and managers._
-   _Maintaining and monitoring the practice appointment system_
-   _Process personal, telephone and e-requests for appointments_
-   _Answer incoming phone calls, transferring calls or dealing with the callers request appropriately_
-   _Action all incoming faxes_
-   _Signpost patients to the correct service_
-   _Process incoming and outgoing mail_
-   _Initiating contact with and responding to, requests from patients, team members and external agencies_
-   _Process referrals to external agencies such as secondary care using the electronic referral system (ERS)_
-   _Process calling letters are requested_
-   _Process all DNA letters in accordance with current policy_
-   _Action GP2GP tasks_
-   _Read code data on EMIS Web_
-   _Photocopy documentation as required_
-   _File and store records as required_
-   _Data entry of new and temporary registrations and relevant patient information as required_
-   _Input data into the patient’s healthcare records as necessary_
-   _Scanning of patient related documentation and attaching scanned documents to patient’s healthcare records_
-   _Process requests for information i.e. SAR, insurance / solicitors letters and DVLA forms to the administrative team_
-   _Manage all queries (including administrative queries) as necessary in an efficient manner_
-   _Carry out system searches as requested_
-   _Maintain a clean, tidy, effective working area always_
-   _Monitor and maintain the reception area and notice boards_
-   _Support all clinical staff with general tasks as requested_
