## Description

FreedUp is excited to announce an opening for a Remote Executive Assistant to join our team. In this role, you will be a vital part of our EA team, placed as the dedicated right hand to a Partner at one of our client companies, a growing professional services firm. You'll help them reclaim time and bring order to communications, inbox management, scheduling, and internal operations. You'll work closely with them to build trust and rhythm, eventually taking full ownership of recurring processes like partner communications, calendar/time tracking coordination, and ClickUp-based project support. This is an excellent opportunity for someone who is detail-oriented, discreet, comfortable synthesizing information into clear written summaries, and excited to become a true extension of an executive's day-to-day.

## Requirements

-   2+ years of experience as an Executive Assistant or in a similar administrative/operations support role.
-   Excellent written communication skills, with the ability to synthesize meeting discussions into clear, concise, high-level summaries appropriate for broader team distribution.
-   Strong discretion and judgment when handling sensitive or confidential business and personnel information.
-   Comfort taking detailed notes during live meetings and turning them into organized action items, decisions, and owners.
-   Experience managing or organizing a busy email inbox, including triage systems, labeling, and folder structures.
-   Familiarity with calendar management best practices (meeting titles, descriptions, time-block conventions).
-   Working knowledge of ClickUp, or strong ability to quickly learn new project management platforms.
-   Comfort working in Slack as a primary communication tool, largely within the client's public channels.
-   Highly organized, proactive, and self-motivated, capable of working independently in a remote environment.
-   Experience creating or duplicating checklists/templates and tasking out steps to multiple stakeholders.
-   Research skills and comfort navigating government or compliance-related web portals.
-   Basic familiarity with time-tracking tools (e.g., Toggl) is a plus.

### **Key Responsibilities**

-   **Partner Communications:** Sit in on weekly partner meetings, take notes, and share a clear summary with the wider team.
-   **Inbox Management:** Keep the inbox organized and triaged daily, turning action items into tasks and keeping email clutter-free.
-   **Calendar & Time Coordination:** Schedule meetings following team norms and help track time in Toggl.
-   **ClickUp & Project Support:** Maintain and customize onboarding checklists for new hires/contractors and keep tasks organized in ClickUp.
-   **Compliance & Documentation Support:** Assist with annual compliance and recertification paperwork.
-   **Team Integration:** Be an active, trusted presence on Slack and build strong working relationships across the team.
-   **General Administrative Support:** Help with ad hoc admin tasks, filing, and organization as needed..
