### Opportunity

We're looking for a proactive and organised Admin Officer to help keep Global Partners Digital running smoothly. This is a varied, hands-on role at the heart of our operations. One day you might be coordinating logistics for a high-profile international event, the next you'll be  managing our social media presence or supporting financial administration.

You'll sit within our Core Function (operational) team, working closely with the COO and supporting GPD's projects, including the Freedom Online Coalition (FOC) Support Unit, a global initiative promoting internet freedom.

## Requirements

### Overview of the role

The Admin Officer sits within GPD's operational team (Core Function) and plays a central role in keeping the organisation running day-to-day. Reporting to the COO, this role is the operational backbone of GPD, working across a varied mix of responsibilities including financial admin, HR and IT support, event and travel logistics, and comms support. You'll also collaborate closely with GPD's other functions and projects, including the Freedom Online Coalition (FOC) team, playing an essential behind-the-scenes role in enabling GPD's mission.

### Responsibilities 

**Operations, HR & Finance**

-   Support the COO with day-to-day company operations, including HR processes, IT coordination, and financial administration;
-   Manage financial admin tasks such as invoicing, expense tracking, and working with our accounting tools (Xero);
-   Support procurement, contracting and supplier management;
-   Help develop and maintain GPD’s operational and data management systems that keep the team working efficiently.

**Project Support**

-   Provide administrative and financial support across GPD's projects, including the Freedom Online Coalition Support Unit.

**Events & Travel**

-   Coordinate global events, both online and in-person, including venue sourcing, catering, AV, translation, invitations, agendas, and minute-taking.
-   Manage travel logistics for GPD staff and external partners, including transport and accommodation bookings, risk assessments, and logistics notes.
-   Represent GPD in external settings in a supportive capacity, including occasional travel.

**Communications**

-   Support inbox management, contacts databases, and mailing lists.
-   Draft and schedule social media posts and assist with website updates.

**Culture**

-   Play an active role in fostering a positive, collaborative, and inclusive team culture.

### Person Specification

**Required**

-   At least three years' experience in an administrative or operations support role;
-   Experience in financial administration (experience with Xero is a plus);
-   A track record of supporting complex, multi-stakeholder events and travel logistics;
-   Strong proficiency with tools like Google Workspace, Microsoft 365, and Slack;
-   Excellent attention to detail and the ability to manage competing deadlines without dropping the ball;
-   Strong written and verbal communication skills in English;
-   The ability to handle sensitive and confidential information with discretion.

**Desirable**

-   An undergraduate degree or equivalent qualification in a relevant field;
-   Experience in project administration and reporting;
-   Willingness to travel for work and flexibility to travel internationally;
-   Proficiency in a second language.
