**Workplace:** hybrid

**Department:** Finance/Accounting

## Description

**About HMC**

Hilton Mechanical Contractors is a merit-shop pipe fabrication and installation subcontractor with about 140 employees.

We operate four facilities totaling about 205,000 sq ft: two in Alpharetta, one in Gainesville, and one in Acworth. We

fabricate and install carbon steel, stainless, and polypropylene piping for hydronic and chillwater systems and deliver

with our own CDL fleet across the Southeast and Mid-Atlantic.

**The Role**

The Marketing & Events Coordinator owns HMC's brand, marketing materials, company events, and trade show

program. You'll manage our marketing agency, run the branded merchandise program, and plan internal events across

all four facilities. You'll also handle every conference and trade show we attend, from booking through follow-up. You'll work closely with the VP of Business Development & Marketing and the account manager, and you'll be the go-to person for marketing requests across the company.

**Responsibilities**

_Brand and Agency Management_

• Serve as the primary day-to-day contact for Mighty 8th Media on ads, website updates, and marketing materials.

Submit requests, track deadlines, and route drafts for review and approval.

• Hold a weekly check-in with Mighty 8th and keep a running project list with status and due dates.

• Apply the HMC Brand Style Guide to everything that carries the logo, inside and outside the company.

• Build and maintain the marketing asset library: logos, photos, video, project profiles, and approved templates.

• Coordinate jobsite and shop photography and video with project managers and field leadership.

_Content and Communications_

• Draft and schedule posts for HMC's LinkedIn and Facebook pages, following the company voice and approval

process.

• Keep capability statements, one-pagers, project profiles, and other collateral current.

• Help produce internal announcements such as safety milestones, new hires, and project wins.

• Prepare award submissions and industry association materials as assigned.

_Conferences, Trade Shows, and Expos_

• Maintain the annual event calendar and budget for conferences, trade shows, and expos.

• Handle registration, sponsorships, booth space, booth materials, giveaways, shipping, travel, and lodging.

• Attend events with the VP and account manager. Set up and break down the booth and work it during show hours.

• Capture every contact met at an event and get the list to the business development team within two business days.

• Close out each event with a short recap: total cost, contacts made, and what to change next time.

Merchandise and Purchasing

• Run the branded apparel and merch program for employees, events, and customers.

• Get quotes, compare vendors, place orders, and track delivery against budget.

• Manage merch inventory across all locations and restock before it runs out.

• Use the Retro logo for apparel and merch and the standard logo everywhere else.

• Reconcile marketing purchases and submit receipts and expense reports on time.

_Internal Events and Culture_

• Partner with front desk staff at each shop to plan company events, including the Christmas party, employee

appreciation events, and milestone celebrations.

• Coordinate venues, catering, invitations, and RSVPs.

• Support recruiting events such as job fairs and trade school visits with booth materials and merch.

_Business Development Support and Reporting_

• Keep the marketing calendar and project tracker current.

• Deliver a monthly marketing report covering spend, events, social media activity, and open projects.

• Support the VP of Business Development with meeting materials, travel arrangements, and research as needed.
