**Job Role:** Project Coordinator (Commercial Joinery)

**Compensation range:** $2,000 AUD - $2,500 AUD / Monthly

**Engagement type:** Independent Contractor Agreement

**Work Schedule:** This role is expected to align with the AU business hours (approx. 9 AM - 5 PM, Monday to Friday) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time.

**Role Overview:** The Project Coordinator will work closely with the Project Manager, Operations Manager, manufacturing contacts, suppliers and installation teams to help keep commercial joinery projects organised and moving.

This is not a basic administration role. The successful candidate must be able to read construction drawings, apartment layouts, joinery drawings, elevations, schedules, specifications and project documentation.

The Project Coordinator will support the Project Manager by capturing project details, maintaining accurate registers, chasing actions, processing documents quickly, preparing clear reports and making sure important information is not missed.

The role requires excellent written and spoken English because the candidate will be required to email and call Australian suppliers, contractors, builders and client representatives.  

**Key Responsibilities:** 

-   Read and review construction drawings, architectural plans, apartment layouts, joinery drawings, elevations, sections, schedules, specifications and project documentation to understand the project scope and identify information that needs to be tracked or clarified.
-   Maintain shop drawing registers, RFI registers, document registers, procurement trackers, production trackers, delivery trackers, action registers, defect trackers and project closeout trackers.
-   Track joinery packages by building, level, apartment, room, area, joinery item, revision and approval status where required.
-   Take detailed meeting minutes and convert discussions into clear action items, responsible persons, due dates and follow-up requirements.
-   Follow up builders, consultants, suppliers, manufacturing contacts, subcontractors, installation teams and internal team members to make sure actions are completed and information is returned quickly.
-   Prepare weekly project status reports that summarise progress, outstanding information, upcoming deadlines, drawing status, production status, delivery risks, installation risks and items requiring Project Manager attention.
-   Draft professional emails to Australian suppliers, contractors, consultants and client representatives. Emails must be clear, accurate, polite and written in strong Australian business English.
-   Call Australian suppliers, contractors and client representatives when required to clarify information, chase documents, confirm dates, request updates or support the Project Manager.
-   Assist with procurement administration by tracking quotes, approvals, purchase orders, supplier information, lead times, production status, delivery dates and missing information.
-   Assist with project documentation, including RFIs, transmittals, shop drawing submissions, material submissions, hardware schedules, stone schedules, sample submissions, operation and maintenance information, warranties, QA records, delivery dockets, site photos and defect closeout records.
-   Maintain organised project folders and ensure documents are saved in the correct location using clear file naming and current revisions.
-   Escalate issues early when drawings are inconsistent, approvals are late, production information is unclear, suppliers are not responding, deliveries are at risk, site dates change, or information is missing.
-   Support the Project Manager with claim preparation, variation support and project records where required, while understanding that commercial decisions remain with the Australian management team.

## Requirements

**Required Skills and Qualifications:**

-   At least 3 years of experience in construction project coordination, construction administration, architecture, drafting support, subcontractor administration, joinery administration or a similar construction documentation role.

-   Experience with Australian construction projects is strongly preferred. Experience with joinery, cabinetry, shopfitting, commercial interiors, multi-residential projects, hotels, aged care, student accommodation or repeated-room projects is highly valued.
-   The candidate must already understand construction drawings and project documentation. This role is not suitable for a general virtual assistant or executive assistant who needs to be trained from the beginning in construction documents.
-   The candidate must be comfortable managing several active projects at once and must be able to maintain accuracy while working quickly.
-   Excellent written and spoken English is essential. The role requires regular written communication and phone calls with Australian suppliers, contractors and client representatives.
-   Strong ability to read architectural drawings, floor plans, joinery elevations, sections, schedules and specifications is essential.
-   Confidence using Excel, Word and Bluebeam is essential. The candidate must be able to maintain trackers, registers, schedules, reports, markups and project records accurately.
-   Strong attention to detail is essential. Small missed details can create procurement errors, production delays, site delays, rework and cost exposure.
-   Strong follow-up discipline is essential. The candidate must be able to chase actions professionally and consistently until they are closed.
-   Strong document control skills are essential. The candidate must be able to work with revisions, registers, file structures, naming conventions and document issue records.
-   The candidate must be self-managed, reliable, commercially aware and able to work with limited supervision once the company process has been explained.
