**Job Role:** R&D Tax Lodgement Coordinator

**Compensation range:** $1,500 AUD - $2,000 AUD / Monthly

**Engagement type:** Independent Contractor Agreement

**Work Schedule:** This role is expected to align with the AU business hours (approx. 9 AM - 5 PM; 10am start may be acceptable, Monday to Friday) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time.

**Who The Client Is:** an Australian professional services firm specialising in R&D Tax Incentive support. They help businesses organise financial and project documentation needed to prepare R&D tax claims, with technical eligibility handled by an Australian-based R&D tax manager. 

**Role Overview:** They are seeking an experienced offshore tax and accounting professional to join as a R&D Tax Lodgement Coordinator, responsible for supporting the end-to-end operational workflow of client R&D tax lodgements. This full-time role (aligned with Australian business hours) focuses on managing accounting and financial documentation, coordinating client onboarding and follow-ups, and ensuring all lodgement requirements are accurately prepared and well organised. While R&D Tax Incentive experience is not required as training will be provided, strong accounting knowledge, tax administration experience, and confident client and task management skills are essential, with technical assessment and eligibility decisions handled by the onshore R&D tax manager.

The ideal candidate is organised, detail-focused, and confident working with financial records and operational processes. They should be comfortable following up clients, maintaining accurate systems and workflows, and identifying missing or inconsistent information. The role suits someone who is reliable with deadlines, calm under pressure, commercially sensible, and capable of working independently behind the scenes to reduce operational load and keep processes running smoothly.

**Key Responsibilities:** 

Client & Accountant Liaison:

-   Chase clients for P&Ls, payroll summaries, invoices, contractor records, signed forms, and missing documents
-   Communicate directly with client accountants to obtain tax and financial information
-   Help clients and accountants get set up with Relationship Authorisation Manager so access and authorisations are in place

Meeting & Project Support:

-   Prepare all documents and background information before technical review meetings
-   Sit in on client meetings, monitor action items, and extract useful information from meeting transcripts
-   Use meeting transcripts, notes, and AI tools (Floyd, ChatGPT) to prepare first-draft R&D summary documents for review

Financial & Lodgement Preparation:

-   Gather and organise payroll summaries, P&Ls, general ledgers, invoices, and contractor information
-   Help build R&D expenditure budgets from financial records and client interviews
-   Prepare R&D tax schedules, subject to review
-   Upload information into the AusIndustry R&D application form, subject to review and approval

Systems & Reporting:

-   Keep Monday.com updated with client status, tasks, deadlines, and next steps
-   Produce weekly reports showing active clients, work in progress, stuck items, missing information, upcoming deadlines, and internal financial metrics
-   Follow up clients for Google reviews and feedback after project completion
-   Follow up accountants for possible referrals after successful projects

Tools & Systems:

-   Use tools and systems including Xero, Excel, Google Sheets, Dropbox, Monday.com, Gmail, AusIndustry Portal, Relationship Authorisation Manager, and AI tools such as ChatGPT and Floyd
-   Follow internal workflows and R&D-specific processes, with full training provided on systems and lodgement procedures

What You Won't Do:

This role is not about giving R&D eligibility advice, making final judgement calls on core or supporting activities, or lodging claims without review. Your job is to keep the lodgement process organised, complete, and moving while our onshore R&D tax manager handles the technical side.

**Required Skills and Qualifications:**

-   5+ years’ experience in accounting, tax administration, bookkeeping, or offshore accounting support
-   Strong understanding of accounting records, tax workflows, and financial documents including P&Ls, payroll summaries, invoices, and general ledgers
-   Proficient in Xero, Excel, and Google Sheets
-   Excellent written English and confident communicating with clients and accountants via email
-   Highly detail-oriented, organised, and able to work independently using checklists and workflows
-   Experience supporting Australian accounting firms, tax agents, or professional services firms is strongly preferred. 
-   Must be comfortable following up clients and accountants repeatedly, professionally and without needing constant prompting. 

**Bonus Points:**

-   R&D Tax Incentive experience
-   Australian tax admin experience
-   Experience with AusIndustry or ATO-related workflows
-   Familiarity with Monday.com or similar project management tools
-   Experience using AI tools to summarise meeting notes or transcripts

**Success in Your First 30 Days**

After 30 days, we'd expect to see:

-   Every active client has a clear status in Monday.com
-   Missing information is clearly identified for each client
-   Weekly lodgement tracker is up to date
-   Client follow-ups are happening without constant prompting
-   Meeting preparation is more organised
-   Financial documents are being gathered and filed correctly
-   The team has better visibility over where every lodgement is up to
