**Job Role:** Client & Operations Coordinator

**Compensation range:** $1,800 AUD - $2,000 AUD / Monthly

**Engagement type:** Independent Contractor Agreement

**Work Schedule:** This role is expected to align with the AU business hours (approx. 7:30 AM - 5 PM, Monday to Thursday and 7:30 AM - 11:30 AM on Fridays) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time.

**Who The Client Is:** Our client is a growing Australian business support firm that partners with small and medium-sized organisations to improve their day-to-day operations. They provide a combination of financial administration, people and compliance support, helping business owners streamline internal processes, maintain accurate records, and build efficient workplace practices. 

**Role Overview:** The **Client & Operations Coordinator** provides administrative, client, event, and operational support across the business.

This is a hands-on coordination role responsible for maintaining organised client and internal systems, supporting event planning and administration, assisting with event promotion and marketing activities, maintaining CRM records, and ensuring business documentation is accurate, current, and accessible.

**Key Responsibilities:** 

**Client & Operations Administration**

-   Provide day-to-day administrative and operational support to the team and clients.
-   Coordinate client requests, follow-ups, internal tasks, and deadlines.
-   Prepare and maintain documents, reports, templates, correspondence, and business records.
-   Support the Director and Practice Coordinator with general operational requirements.
-   Identify and escalate issues, delays, or tasks outside the role's scope.
-   Assist with improving administrative processes and maintaining organised workflows.

**Event Coordination & Administration**

-   Assist with planning and coordinating internal and client-facing events.
-   Prepare event workbooks, run sheets, checklists, timelines, and task allocations.
-   Manage attendee lists, registrations, bookings, vendor documentation, and event communications.
-   Support venue coordination, scheduling, materials, and other event logistics.
-   Complete post-event follow-ups and maintain accurate event records.

**Event Promotion & Marketing Support**

-   Assist with event promotion across social media, email, CRM, and other approved platforms.
-   Schedule and publish promotional content in line with the marketing calendar.
-   Create basic promotional materials using tools such as Canva.
-   Maintain event landing pages and registration systems as required.
-   Track event registrations and provide updates or reports to management.
-   Support general marketing and email communication activities while maintaining brand consistency.
-   Client consultation, content creation and scheduling using various approved platforms

**CRM, Systems & Documentation**

-   Maintain accurate and up-to-date client records in the CRM and other business systems.
-   Enter, organise, upload, and maintain digital records and documentation.
-   Ensure data integrity and information is accessible and stored correctly.
-   Assist with system updates, new tools, and process improvements as required.

**HR & Compliance Administration**

-   Assist with preparing and formatting HR documents, contracts, onboarding packs, policies, and related materials.
-   Maintain secure and accurate employee and contractor records.
-   Support onboarding and offboarding administration.
-   Assist with compliance tracking, internal reporting, and documentation requirements.
-   Ensure records are handled in line with privacy and internal compliance procedures.

**Required Skills and Qualifications:**

-   2+ years of experience in administration, operations coordination, client services, or a similar role.
-   Experience supporting clients, coordinating tasks, and managing multiple priorities.
-   Strong organizational skills with excellent attention to detail.
-   Must be able to use initiative and able to prioritise tasks.
-   Good written and verbal English communication skills.
-   Proficient in Microsoft Office and Clickup (or other platforms for similarity).
-   Experience using CRM systems and other digital business platforms.
-   Familiarity with Canva, social media, email marketing, or content scheduling tools is an advantage.
-   Ability to create and maintain accurate records, documents, and reports.
-   Previous experience supporting an Australian business or working with Australian clients is an advantage.
