**Role Overview**

The Finance Administration Specialist is a process-enablement role within the Finance Centre of Excellence (COE), supporting six operating markets across Southeast Asia. This role exists to ensure that critical finance processes — billing, claimback collection, and compliance filings — are never delayed due to missing documents, incomplete forms, or unsigned paperwork.

Rather than performing accounting work, this person sits one step upstream: preparing the documents, forms, and records that allow AR, Value Protection, and Finance Operations teams to execute without friction. The role requires strong follow-up discipline, an organized mindset, and enough finance literacy to understand what each document is for and why it matters.

**Key Responsibilities**

**1\. AR Process Support — Quote & Order Management (30%)**

-   Create and maintain Quotes/Orders (QO) on the system accurately and on time to unblock the AR billing cycle
-   Track outstanding QOs pending Brand PO issuance; follow up with relevant parties to prevent billing delays
-   Coordinate with AR accountants to ensure QO-to-invoice flow runs without gaps

**2\. Value Protection (Claimback) Documentation (25%)**

-   Prepare acceptance records and supporting documents upon Brand confirmation of claimback amounts
-   Manage physical signing process with Brands; track signature status and escalate delays to Value Protection Team Lead
-   Maintain a log of completed vs. outstanding claimback documentation by Brand and period vouchers, and commercial contracts compliance with Vietnam regulations.

**3\. Treasury, Tax & Compliance Document Preparation (25%)**

-   Prepare required documentation packages to support Finance Operations assigned by Team Lead (e.g. bank submission forms, tax filing support documents, regulatory checklists)
-   Follow up with internal and external parties to collect missing documents ahead of submission deadlines
-   Maintain organized filing of completed compliance documents by entity and reporting period

**4\. AP & Inventory Admin Support (10%)**

-   Assist with document preparation for payment processing and inventory booking as directed by Team Lead
-   Lower priority; handled on a task-assigned basis around core workstream duties

**5\. General Document Control (10%)**

-   Scan, rename, upload, and archive financial documents to SharePoint/Drive per COE naming conventions
-   Maintain submission trackers; flag outstanding items to relevant Team Leads proactively

## Requirements

**Job Requirements**

-   Bachelor's degree in Accounting, Finance, Business Administration, or related field
-   1–2 years in a finance admin, accounting support, or document control role
-   Experience in a shared services, e-commerce, or multi-entity environment is a strong plus
-   Fresh graduates with strong internship experience in finance operations will be considered

**Technical Skills**

-   Proficient in Excel / Google Sheets — trackers, data validation, basic formulas
-   Comfortable navigating NetSuite or similar ERP at a view/download level (no posting required)
-   Familiar with SharePoint or Google Drive for document filing and version control
-   Familiarity with e-commerce platforms (Shopee, TikTok Shop) is an advantage

-   Follow-up discipline: Comfortable chasing colleagues, brands, and external parties repeatedly without escalating unnecessarily — this is a core daily activity, not an exception
-   Process orientation: Understands that their output unlocks someone else's work; takes ownership of their step in the chain
-   Attention to detail: Precise in naming, filing, and tracking — errors here create downstream accounting problems
-   Deadline-driven: Able to manage multiple concurrent deadlines across workstreams without dropping items
-   Communication: Good written English for coordination across Vietnam, Thailand, and other regional markets
