## Description

**Position Objective:**

The Risk Management Analyst supports Harvard Maintenance’s enterprise risk management, safety, insurance, and claims programs across a multi-state facilities services portfolio. The role identifies and helps mitigate operational, financial, contractual, and compliance risks associated with janitorial, facilities maintenance, and specialty services operations. The analyst partners with Operations, Environmental Health and Safety (EHS), Human Resources, Legal, and Finance to reduce loss exposure, improve safety outcomes, and support contractual and insurance requirements.

**Essential Duties and Responsibilities:**

·         Identify, assess, and monitor operational risks related to facilities services, including workplace safety, property damage, contract compliance, and third-party vendor exposure.

·         Conduct risk assessments for new accounts, service expansions, and high-risk locations.

·         Maintain enterprise and operational risk registers and loss trend analyses.

·         Assist in managing general liability, workers’ compensation, auto liability, and umbrella insurance programs.

·         Coordinate claim documentation and follow up on outstanding information and action items throughout the claims process.

·         Analyze data across all claims and develop trend reports to identify root causes, loss drivers, and high-risk patterns; recommend mitigation strategies.

·         Partner with EHS and Operations teams to support loss prevention initiatives and corrective action plans at the site and regional levels.

·         Analyze incident reports, OSHA data, and safety metrics to identify risk trends and support risk mitigation strategies.

·         Monitor safety portals to ensure data accuracy and timely updates; provide summaries and trend reports to EHS and Operations teams for proactive risk management.

·         Support compliance with applicable federal, state, and local regulations, including OSHA, DOT, and workers’ compensation requirements.

·         Review client contracts for risk transfer provisions, insurance requirements, and indemnification clauses; coordinate identified issues with Risk Management and Legal.

·         Oversee certificate of insurance (COI) tracking and renewals to ensure vendors and subcontractors meet contractual insurance requirements.

·         Implement automated COI management tools and maintain accurate, current records for audits.

·         Maintain and update compliance portals to ensure accurate documentation of insurance certificates, regulatory filings, and client-specific requirements.

·         Monitor compliance dashboards and resolve discrepancies promptly, coordinating with responsible stakeholders as needed.

·         Assist with audits, client risk reviews, and internal compliance assessments.

·         Prepare dashboards and reports for leadership on claims performance, risk exposure, and safety metrics.

·         Provide risk-related insights and recommendations to Operations, Human Resources, and leadership teams.

·         Support enterprise risk management initiatives and continuous improvement efforts.

## Requirements

**Knowledge and Skill Requirements:**

·         Associate or bachelor’s degree in risk management, Business, Insurance, Finance, Analytics, or a related field preferred, or an equivalent combination of education and relevant claims or risk management experience.

-   Three or more years of experience in claims administration, insurance, compliance, or risk management. 

-   Knowledge of Workers Compensation, General Liability, Auto Liability, Property, and casualty claims. 

-   Actual Claims Management Experience

·         Experience with compliance portals, safety dashboards, and automated COI management tools.

·         Strong analytical and critical-thinking skills. 

-   Advanced Microsoft Excel skills, including pivot tables, reporting, and data analysis.

-   Microsoft PowerPoint proficiency with experience creating presentations and dashboards. 

-   Experience analyzing loss data, reserve trends, closure rates, and claim performance metrics. 

-   Experience with RIMS or similar claims management systems. 

-   Excellent written, verbal, and presentation skills, with the ability to communicate claim and analytical information clearly to Risk Management leadership.

**Preferred qualifications:**

Experience working with TPAs, insurance carriers, brokers, and legal counsel; knowledge of OSHA recordkeeping, claims-related regulatory reporting, and compliance requirements; experience utilizing compliance portals, COI management platforms, and risk reporting tools; ability to prepare claims and compliance dashboards for leadership; and proven success managing multiple claims, compliance activities, and competing priorities while maintaining data integrity, accuracy, and confidentiality.
