# HubSpot Systems Analyst (12-Month Fixed Term Contract)

> Inspired Thinking Group (ITG) · Birmingham, United Kingdom (Hybrid) · Contract · Posted 2026-10-20

**Workplace:** hybrid

**Department:** Enterprise Resource Planning

## Description

The HubSpot Systems Analyst will lead the realignment of our HubSpot instance so that it works the way the business actually works. Over the 12-month contract, you will review how HubSpot is configured and used today, work with stakeholders to understand what they need from it, and reshape the system – properties, objects, pipelines, workflows, permissions and reporting – to meet those needs.

This is a hands-on role for someone who enjoys untangling a system that has grown organically and leaving it cleaner, simpler and better documented than they found it. You will act as the Subject Matter Expert (SME) in HubSpot for the FS&BI team and work closely with commercial, finance and operations stakeholders to make sure the data in HubSpot is trusted and usable across the group.

**Key Responsibilities:**

**System Review and Realignment**

- Review the current HubSpot configuration, usage and integrations, and identify where it no longer fits business needs.
- Work with stakeholders to capture requirements and agree the target way of working in HubSpot.
- Build and agree a prioritised realignment plan, and deliver it in manageable phases with minimal disruption to users.
- Redesign and simplify objects, properties, pipelines, lifecycle stages and deal and ticket stages to match agreed processes.
- Rationalise and rebuild workflows, automations and sequences, retiring those that are redundant or no longer needed.
- Review user roles, teams and permissions so that access is appropriate and aligned with ITG policy.

**Administration and Configuration**

- Administer, configure and maintain HubSpot day to day.
- Manage and maintain integrations between HubSpot and other business systems, including finance and ERP platforms.
- Collaborate with HubSpot, vendors and IT to resolve issues and make best use of platform functionality.
- Manage change in a controlled way, including testing, sign-off and release communications.
- Act as the SME for HubSpot within the FS&BI team.

**Data Quality and Governance**

- Audit existing HubSpot data (contacts, companies, deals and custom objects) to identify duplicates, gaps and inconsistencies.
- Define and document data standards, naming conventions and ownership, working with the FS&BI Master Data pillar.
- Clean, migrate and reformat data as required to support the realigned structure.
- Put in place ongoing checks so that data quality is maintained after the project ends.

**Reporting and Analysis**

- Rebuild HubSpot dashboards and reports so they reflect the agreed structure and definitions.
- Support consistent reporting between HubSpot and group finance and BI reporting.
- Manage new reporting requests, providing insight and support to design and test them.
- Support ad hoc reporting for commercial and leadership stakeholders.

**User Support and Training**

- Act as the point of contact for HubSpot questions and issues, coordinating escalations where needed.
- Develop user guides, training materials and short workshops so that users adopt the new ways of working.
- Gather feedback from users throughout the project and adjust the plan accordingly.

**Documentation and Handover**

- Document the final HubSpot configuration, processes, data flows and integrations.
- Maintain a clear change log throughout the contract.
- Prepare a full handover at the end of the contract so the system can be run by the permanent team without reliance on individual knowledge.

**Compliance and Regulation**

- Ensure HubSpot is configured and used in line with internal policies, data protection requirements and ITG’s group AI policy where AI features are used.

## Requirements

**Essential:**

- Proven hands-on experience administering and configuring HubSpot (CRM, with Sales and/or Service Hub).
- Experience of reviewing and restructuring a CRM to fit changing business processes.
- Strong understanding of CRM data structures, properties, pipelines and workflow automation.
- Strong analytical, problem solving and communication skills.
- Excellent organisational and project management skills, with the ability to deliver to a fixed timeline.
- High attention to detail and a methodical approach.
- Ability to explain technical changes in plain English to non-technical users.

**Desirable:**

- HubSpot certifications.
- Experience of HubSpot integrations with finance or ERP systems (for example NetSuite or Sage Intacct).
- Experience with HubSpot reporting and dashboards, and with Excel and Power BI.
- Experience with system integrations and process automation.
- Experience of data migration and data cleansing projects.

**What Good Looks Like:**

By the end of the 12-month contract:

- HubSpot reflects the way the business works, and users can explain why things are set up as they are.
- Redundant properties, workflows and users have been removed, and the system is simpler to run.
- Data is clean, consistently defined and trusted for reporting.
- Dashboards and reports are aligned to agreed definitions and used by stakeholders.
- Everything is documented and has been handed over, so no knowledge sits with one person.
