## Description

Under supervision of the professors of Practicum in Interpretation, the GA provides administrative support for the Practicum in Interpretation course. This is a non-exempt, temporary part time staff position.

_**This position is compensated at the Level B rate on the MIIS student wage scale. $17.45 per hour**_

**ESSENTIAL DUTIES/RESPONSIBILITIES**

· Sets up a new Canvas site for the course. Rolls over as much as possible from the previous semester(s), and create a new Calendar of Events (CoE), and CI and CL List.

· Reads all emails sent by the practicum professors (PPs). Adds all events mentioned in the emails to the corresponding weeks on the CoE.

· Checks all equipped locations for interpretable events. Uses 25live, the MIIS Events page, and the academic calendar.

· Puts interpretable one-off events, speaker series events, etc. on the CoE

· Compiles a list of courses held in equipped locations (course title and number, professor’s name, class times and venues) and shares with the PPs for discussion.

· Attends Friday workshops.

· Checks email on a daily basis, responds to everything that is time-sensitive on the same day.

· Is the practicum students’ main POC for questions and issues throughout the week

· Updates the CoE as soon as the PPs suggest new events.

· Requests materials from event organizers, makes sure the CIs get materials for preparation.

· Attends planning meetings as sheduled.

· Manages the Canvas site on a daily basis, e.g.:

o Creates sign-up forms for weekly events

o Monitors sign-ups, confirm interpreters, add their names to the CoE

· Updates the booth hour tracker on a weekly basis

· Does additional room/lab reservation as necessary

· Reviews logs

· Alerts Media Services and Security of the events which are going to be interpreted (if additional support is needed)

· Sends reminders about workshops to the class

· Helps with arrangements for field trips (e.g. carpooling, assigning students to groups, etc.)

· Recharges and does inventory on equipment on a biweekly basis

**OTHER DUTIES/RESPONSIBILITIES**

Performs other related duties as requested by Program.

## Requirements

**Knowledge/Skills/Abilities**

· Keyboarding skills of approximately 50 w.p.m.

· Current computer skills, to include word processing, knowledge of internet, email and database management (Excel, Access).

· Solid written and oral communication skills.

· Professional and courteous telephone skills.

· Attention to detail and record keeping skills.

· Skilled command of grammar and spelling.

· Capacity to prioritize and organize work requests and projects, often under pressure.

· Ability to use common office machines such as photocopier, multi-line telephone systems, fax machines.

· Excellent interpersonal skills and public relations skills, including ability to work cooperatively with culturally and linguistically diverse students, clients, staff, faculty, and public.

· Willingness and ability to comply with Institute policies, procedures, and mandates.

**Education/Experience**

A combination of education and experience, which would demonstrate possession of the skills required for the position. Minimum three years comparable experience. College-level coursework and familiarity with an academic setting desirable.

**Physical Requirements/Environment**

The Monterey Institute maintains a smoke-free/drug-free workplace. Job requires ability to sit for extended periods of time, ability to handle lightweight parcels and supplies, dexterity for repetitive action such as keyboarding, writing.
