### **Project Coordinator (Asana, Trello & Operations) – Remote**

**Position Type:** Full-Time, Remote  
**Working Hours:** U.S. Client Business Hours (flexibility for deadlines)

### **About the Role**

At Pavago, one of our clients is hiring a **Project Coordinator** to bring structure, accountability, and visibility across multiple projects and operational workflows.

This is not a passive administrative role. You’ll help keep projects on track by managing timelines, coordinating stakeholders, tracking deliverables, identifying risks, and maintaining organized documentation.

### **What You’ll Do**

### **Project Planning & Timeline Management**

-   Maintain project plans using Asana, Trello, Monday.com, MS Project, or Smartsheet.
-   Track timelines, milestones, dependencies, and deliverables.
-   Keep project schedules and trackers accurate and up to date.
-   Help teams stay aligned on priorities and deadlines.

### **Documentation & Reporting**

-   Prepare meeting agendas, notes, action items, and weekly project reports.
-   Maintain organized documentation in SharePoint, Google Drive, or Confluence.
-   Track project progress, risks, blockers, and key metrics.
-   Ensure documentation remains accurate and accessible.

### **Communication & Coordination**

-   Act as the central point of coordination between project managers, team members, leadership, and stakeholders.
-   Follow up on tasks and deliverables proactively.
-   Escalate delays, blockers, or risks before they impact project timelines.
-   Ensure decisions and updates are clearly documented.

### **Task & Resource Tracking**

-   Monitor task completion, resource availability, and project dependencies.
-   Help maintain accountability across active projects.
-   Ensure deliverables stay on schedule.

### **Risk & Vendor Management**

-   Identify delays, bottlenecks, and operational risks.
-   Maintain project risk logs and escalation tracking.
-   Coordinate with vendors, contractors, and external stakeholders.
-   Track vendor deliverables and escalate issues when needed.

### **Required Experience & Skills**

-   2+ years of experience in:

-   Project Coordination
-   Operations Support
-   Administrative or Project Support roles

-   Hands-on experience with:

-   Asana
-   Trello
-   Monday.com

-   Strong Excel or Google Sheets skills, including:

-   Project trackers
-   Pivot tables
-   Conditional formatting

-   Excellent organizational, documentation, and communication skills.
-   Comfortable working remotely across multiple stakeholders.

### **Nice to Have**

-   PMP, CAPM, or Agile certifications (or currently pursuing them).
-   Familiarity with Agile, Scrum, or sprint planning.
-   Experience in SaaS, marketing, professional services, construction, or operations-focused environments.

### **What a Typical Day Looks Like**

-   Update project plans and task trackers.
-   Follow up with teams on deadlines and deliverables.
-   Support meetings with notes and action items.
-   Prepare weekly project status reports.
-   Coordinate communication across stakeholders.
-   Identify and escalate project risks.
-   Maintain organized project documentation.
