### **Architectural Assistant (Estimating & Bidding, Bluebeam, Construction – Remote, EST/CST)**

### **About the Role**

We’re hiring an **Architectural Assistant** to support **estimating, bidding, and project coordination** for commercial casework and millwork projects.

This is a detail-driven role where you’ll manage **bid invitations, coordinate with estimators, prepare proposals, and track project outcomes**. You’ll play a key role in keeping the bidding process organized, accurate, and on schedule.

### **Responsibilities**

### **Bid Qualification & Organization**

-   Review incoming **invitations to bid** and assess project fit (scope, location, relevance)
-   Add qualified projects to **Notion CRM** and organize documents in **Google Drive**
-   Maintain structured and accessible project records

### **Estimator Coordination**

-   Assign projects to **external estimating and takeoff partners**
-   Track bid progress and ensure timely completion of estimates
-   Coordinate with internal estimators to clarify scope and meet deadlines

### **Proposal Preparation**

-   Review completed estimates and convert them into **professional proposals (Word/PDF)**
-   Submit bids through platforms like **Building Connected**
-   Ensure accuracy and completeness before submission

### **Follow-Up & Tracking**

-   Follow up with **General Contractors** on bid status and outcomes
-   Track awarded and lost bids, including feedback and insights
-   Maintain accurate records of all bid activity

### **Post-Award Coordination**

-   Coordinate contract handoff for **awarded projects**
-   Notify accounting for deposits and update internal stakeholders
-   Document all project details across systems (Notion, Google Chat, internal updates)

### **Requirements**

-   1–3 years of experience in **administration, estimating, or project coordination** (construction, architecture, or millwork preferred)
-   Experience using:

-   **Bluebeam (required)**
-   Google Drive
-   Microsoft Word and Excel

-   Strong organizational skills with the ability to manage **multiple projects simultaneously**
-   Excellent written and verbal communication skills
-   High attention to detail and strong documentation practices
-   Comfortable working **remote during EST or CST hours**

### **Nice to Have**

-   Experience with **Notion, Adobe tools, or Building Connected**
-   Familiarity with **construction drawings and estimating workflows**
-   Experience coordinating with contractors or estimating teams
