# Personal Assistant to Directors - Limassol

## Description

On behalf of our client, a luxury retail company based in Limassol, we are seeking a highly organised Personal Assistant to provide executive, operational, and personal support to the Directors in a fast-paced environment.

**Key Responsibilities:**

-   Providing trusted, high-level support to the Directors by managing priorities, anticipating requirements, and facilitating informed decision-making. 
-   Managing complex calendars, scheduling meetings across multiple time zones, and coordinating business appointments. 
-   Organizing and coordinating internal and external meetings, preparing agendas, recording meeting minutes, and tracking action items. 
-   Acting as the primary point of contact between the Directors and internal teams, stores, external partners, landlords, service providers, and other stakeholders. 
-   Managing end-to-end international travel arrangements, including flights, hotels, transfers, visas, detailed itineraries, and last-minute changes. Coordinated travel and buying appointments for over 65 premium luxury brands. 
-   Managing personal appointments, external errands, and time-sensitive requests while supporting both professional and personal matters to optimize the Directors' time. 
-   Coordinating with maintenance teams, cleaning companies, and external vendors to ensure all stores and offices operate efficiently. 
-   Proactively identifying operational issues and ensuring timely resolution to maintain smooth business operations. 
-   Overseeing office administration and managing the procurement of office supplies, cleaning products, uniforms, client gifts, operational materials, and floral arrangements for stores and offices. 
-   Managing employee contracts, agreements, annual leave records, onboarding documentation, and induction processes for new employees. 
-   Supporting talent acquisition by screening CVs, coordinating recruitment activities, and conducting initial candidate interviews. 
-   Supporting store openings, renovations, relocations, and other business projects as required. 
-   Coordinating company events, staff meetings, training sessions, and client hospitality arrangements. 
-   Managing procurement activities and liaising with suppliers to ensure cost-effective purchasing and service delivery. 
-   Maintaining strong relationships with key suppliers, luxury brand representatives, landlords, showrooms, and external stakeholders. 
-   Ensuring compliance with company policies, procedures, and administrative requirements. 
-   Tracking project deadlines, monitoring follow-ups, and ensuring the timely completion of action items across departments. 
-   Providing crisis-management support by handling urgent operational matters, resolving issues efficiently, and adapting to changing business priorities. 
-   Identifying opportunities to improve processes, workflows, and operational efficiencies. 
-   Managing multiple priorities independently while maintaining a high level of professionalism, discretion, and confidentiality.

**Qualifications:**

-   Excellent verbal, written and interpersonal communication skills, with a confident and positive personality

-   Having attention to detail, problem solving skills and service orientation would be considered an advantage
-   Have strong organisational and time management skills, able to prioritise across different tasks and meet deadlines as per business objectives
-   Fluency in English & Greek language.
-   1-2 years of experience in a similar role
