**Workplace:** remote

## Description

**About the Role**

A private equity holding company overseeing six portfolio entities across multiple US states is building out its HR function and is seeking an Executive Assistant, People Operations to join the team. This is a hybrid role that blends HR administration with executive support for the People Operations leadership team, with approximately 60% of time dedicated to HR administration and 40% to executive support.

People Operations at this organization is a newer function, and many of the processes and tools are still being established. This role is a strong fit for someone who is comfortable with ambiguity, energized by building systems from the ground up, and eager to contribute ideas as the function takes shape. The right candidate brings discretion, proactive follow-through, and genuine interest in HR operations.

**Key Responsibilities**

**HR Administration (approx. 60%)**

•      Maintain accurate and organized employee records, job details, and documentation in the HRIS across all six portfolio entities; assist in building out HRIS workflows as processes are established

•      Process and document employee changes including new roles, compensation or title updates, transfers, and separations, ensuring proper approvals and paperwork are in place

•      Support the Director, Learning and Development with orientation and training logistics, including scheduling sessions, preparing materials, enrolling employees, and tracking completions and required trainings

•      Assist with recurring HR compliance requirements across Colorado, Georgia, Utah, and Texas, including required postings, policy acknowledgments, and record retention

•      Support benefits enrollment, leave, and PTO administration; help employees navigate questions or connect them with the right resource

•      Serve as a responsive first point of contact for routine HR questions and requests, resolving what falls within scope and routing the rest appropriately

•      Pull and organize basic People Ops reporting data such as headcount, new hires, separations, and training completion to support leadership updates and decision-making

**Executive Support (approx. 40%)**

•      Manage calendars and assist with inbox triage for the Senior Director, People Operations and the Director, Learning and Development, protecting their time for priority work

•      Schedule and prepare for meetings, capture notes and action items, and follow up to ensure commitments are completed

•      Draft, format, and organize policies, presentations, employee communications, and templates to a polished standard

•      Keep People Ops projects and deadlines organized, flag upcoming items proactively, and move open items forward before they become urgent

•      Coordinate with general managers and leaders across portfolio entities on HR needs, scheduling, and logistics, including travel and on-site visits when needed

**Talent Acquisition Handoff**

•      Talent Acquisition owns candidates through the new hire handoff to Learning and Development; this role picks up from there with employee records, training logistics, and ongoing HR administration to ensure nothing falls between the two functions

**Qualifications**

**Required**

•      Prior experience in an HR administrative, People Operations, or executive support role — ideally supporting an HR or People Ops function specifically

•      Strong organizational and documentation habits; you keep records accurate, files organized, and nothing falls through the cracks

•      Excellent written communication skills for drafting professional HR communications, templates, and correspondence

•      Comfortable working across multiple systems simultaneously and learning new tools quickly

•      High degree of discretion and sound judgment when handling confidential employee information

•      Proactive, self-directed, and reliable — you anticipate what is coming and act ahead of it rather than waiting to be asked

•      Comfort with ambiguity and a genuine willingness to help build processes that do not yet exist

**Preferred**

•      Experience supporting HR or People Operations in a multi-entity, multi-state environment

•      Familiarity with HRIS platforms and experience building or maintaining HRIS workflows

•      Knowledge of HR compliance requirements across multiple US states

•      Experience with benefits administration, leave management, or PTO tracking

•      Prior work at a private equity-backed or portfolio company structure
