### About the Client

Our client is an established, fast-moving business with a strong external presence across email, social media, events, digital content, podcasts, and promotional campaigns.

They are looking for an experienced **External Communications Executive** to take ownership of day-to-day email marketing, CRM communications, social media scheduling, and digital content coordination.

This is a hands-on role for someone who understands how a business communicates effectively with its audience across multiple channels. The successful candidate will work closely with the client’s senior team, videographer, media manager, AI manager, events team, and advertising team.

The client also has a highly developed suite of AI agents that has been trained on its brands, communications, content style, and previous projects over a period of approximately two years. This means the successful candidate will not be starting from scratch. They will be expected to use these tools extensively to support content creation, campaign delivery, imagery, and communications.

## Requirements

### Key Areas of Responsibility

### Email Marketing & CRM Management

The successful candidate will be responsible for supporting and managing the client’s external email communications using **KEAP and GoHighLevel (GHL)**.

Previous practical experience using these systems is essential.

Responsibilities will include:

-   Manage outgoing email campaigns, broadcasts, delivery emails, announcements, event communications, and promotional emails through KEAP and GoHighLevel.
-   Maintain and update the monthly email marketing and communications calendar.
-   Prepare, build, format, schedule, and distribute email campaigns.
-   Upload and format copy, imagery, links, calls to action, and other campaign assets.
-   Build, test, and maintain basic email automations relating to events, registrations, campaigns, product delivery, and audience journeys.
-   Manage CRM contacts, tags, lists, segments, opt-ins, and opt-outs.
-   Use tagging and segmentation effectively to reduce unnecessary email volume and improve audience engagement.
-   Understand the difference between engaged and unengaged contacts and manage communications accordingly.
-   Monitor email campaign performance, including open rates, click-through rates, engagement levels, deliverability, and other relevant metrics.
-   Identify opportunities to improve open rates, click-through rates, audience engagement, and campaign performance.
-   Schedule sponsor and partner emails according to agreed timelines.
-   Conduct thorough quality checks before emails are distributed, including links, formatting, spelling, branding, imagery, and accuracy.
-   Maintain organised email templates, automations, contact segments, campaigns, and supporting assets.
-   Identify campaign, CRM, deliverability, or audience issues and escalate these to the relevant team member when required.

### Social Media Management

The successful candidate will help manage and coordinate the client’s external social media presence across all relevant channels.

Responsibilities will include:

-   Learn and understand the client’s brands, tone of voice, audience, messaging, positioning, and preferred content style.
-   Maintain a consistent social media content calendar.
-   Schedule social media content across all relevant platforms using appropriate scheduling tools.
-   Actively manage external social media campaigns across the client’s channels.
-   Research relevant trends, topics, hashtags, conversations, and content opportunities within the client’s market.
-   Repurpose existing long-form and short-form content into social posts, stories, reels, clips, and other suitable formats.
-   Create simple branded graphics and campaign assets using tools such as **Canva or Adobe Photoshop**.
-   Capture appropriate behind-the-scenes content in the office, at events, or during relevant business activities when required.
-   Coordinate video and podcast assets, including organising files, preparing thumbnails, uploading content, and scheduling posts.
-   Monitor routine comments, messages, and audience engagement.
-   Respond to straightforward engagement in accordance with brand guidelines.
-   Escalate important enquiries, complaints, opportunities, or sensitive conversations to the appropriate member of the senior team.
-   Monitor basic social media performance and contribute insights to monthly reporting.
-   Keep content calendars, campaign assets, imagery, video files, and social media resources organised and up to date.

### Content Creation

The role will also involve supporting the creation and coordination of digital content for campaigns and ongoing brand communications.

Responsibilities will include:

-   Create occasional digital guides and supporting resources for social media and promotional campaigns.
-   Produce short-form reels and social media video content.
-   Support and oversee content relating to the client’s podcast channels.
-   Coordinate content required for active external marketing and social campaigns.
-   Repurpose existing material into suitable digital formats for different platforms and audiences.
-   Create promotional imagery and social media campaign assets using the client’s trained AI image creation tools.
-   Work with the client’s established AI systems to develop content while ensuring all outputs remain accurate, relevant, and aligned with the brand.
-   Liaise closely with the events and advertising teams to ensure current content supports upcoming promotions, campaigns, launches, and events.
-   Ensure communications across email, social media, paid advertising, events, and other channels remain aligned.

### What the Client Is Looking For

This role would suit someone who understands the wider role of **external communications within a business**, rather than someone who has only posted occasionally on social media.

The successful candidate should understand how email marketing, CRM management, audience segmentation, social media, campaign content, and customer engagement work together.

They should have:

-   Previous hands-on experience managing email marketing or CRM platforms.
-   **Practical experience with KEAP and GoHighLevel is essential.**
-   A good understanding of CRM tagging, segmentation, lists, opt-ins, opt-outs, and contact management.
-   An understanding of open rates, click-through rates, email engagement, and deliverability.
-   Experience identifying engaged versus unengaged contacts.
-   An understanding of how segmentation and tagging can reduce unnecessary email volume and improve campaign performance.
-   Experience scheduling and coordinating social media content across multiple platforms.
-   A good understanding of what makes strong versus weak digital content.
-   Strong written communication skills.
-   Excellent attention to detail.
-   Confidence checking content for spelling, formatting, branding, links, and accuracy.
-   Basic content creation and graphic design capabilities.
-   Experience with Canva and/or Adobe Photoshop would be beneficial.
-   Confidence working with AI-assisted content and image creation tools.
-   Strong organisational skills and the ability to manage multiple campaigns and deadlines simultaneously.
-   The ability to work collaboratively with different teams while taking ownership of their own responsibilities.
-   A proactive approach to identifying ways to improve communication performance and audience engagement.
