## Description

This position is responsible for answering incoming calls, directing calls to appropriate associates, mail distribution, flow of correspondence, as well as additional clerical duties. Shift is 3:00pm - 11:30pm.

**KEY RESPONSIBILITIES**:

-   Answers telephones and directs the caller to the appropriate employee. Will transfer a caller to an employee’s voice mailbox when the employee is unavailable.
-   Greats and directs visitors and patients.
-   Provide assistance to the Intake Department with patient data entry and forms.
-   Assists with other related clerical duties as needed.

The PBX/Receptionist is responsible for answering incoming calls, directing calls to appropriate associates, mail distribution, flow of correspondence, as well as additional clerical duties.

**KEY RESPONSIBILITIES**:

-   Answers telephones and directs the caller to the appropriate employee.  Will transfer a caller to an employee’s voice mailbox when the employee is unavailable.
-   Greats and directs visitors and patients that present in the lobby area.
-   Take and retrieve messages for various personnel.
-   Provide callers with information such as company address, directions to the company location, fax and phone numbers, company website and other related information.
-   Receives, sorts and forwards, incoming mail. 
-   Provide assistance to the Intake Department with patient data entry and forms.
-   Assists with other related clerical duties for other departments.
-   Upholds the Organization’s ethics and customer service standards.

## Requirements

**Knowledge and Experience:**

-   High school degree or equivalent.
-   One (1) year PBX and/or receptionist experience required.
-   All direct patient care staff will be trained in BLS (CPR), which must be renewed every 2 years.
-   All staff, both clinical and non-clinical, will be trained in CPI as part of their orientation.  All direct patient care staff will be retrained every year

**Skills and Abilities:**

-   Proficiency with software and/or equipment (Microsoft Office applications including Outlook, Word, Excel and PowerPoint.)
-   Strong organizational skills with ability to prioritize projects, work relatively independently, manage multiple tasks, and meet deadlines.
-   Excellent verbal, interpersonal and written communication skills. 
-   Ability to work with people with a variety of background and educational levels.
-   Ability to work independently and as part of a team.
-   Good judgment, problem solving and decision-making skills.
-   Ability to work in a fast-paced, expanding organization.
-   Maintains confidentiality of patients at all times.

**Physical Requirements**:  

 While performing the duties of this job, this position is frequently required to do the following: 

-   Use standard office equipment and access, input, and retrieve information from a computer.   Use computer keyboard with manual and finger dexterity and wrist-finger speed sufficient to perform repetitive actions efficiently for extended periods of time. 
-   Communicate effectively in person or via telephone in a manner which can be understood by those with whom the person is speaking, including a diverse population. 
-   Give and follow verbal and written instructions with attention to detail and accuracy. 
-   Vision: see details of objects at close range.
-   Coordinate multiple tasks simultaneously. 
-   Reach forward, up, down, and to the side. 
-   Sit or stand for minimum periods of one hour at a time and come and go from the work area repeatedly throughout the day.
-   Lift up to 30 pounds, exert up to 100 pounds of force occasionally, and/or up to 30 pounds of force frequently
