## Description

**Position: Onboarding Specialist**

**Working Hours:** US Hours (9am-5pm EST)

**Full-Time, Remote Work.**

**Salary:** South African Rand (ZAR)

We are looking for a highly organised, proactive, and people-focused Onboarding Coordinator to guide new employees through the onboarding process from the moment they accept their offer through to their first session.

You will be responsible for ensuring that every new hire has completed the necessary paperwork, credentials, clearances, and training, while also making sure they are successfully set up on all required systems.

This is a highly detail-oriented role where follow-through is critical. You will be the friendly and reliable point of contact for new hires during their first few weeks, helping them feel supported and confident as they join the organisation.

### Key Responsibilities

-   Guide every new hire through the complete onboarding process, from offer acceptance through to their first session.
-   Track and collect all required onboarding documents, credentials, certifications, and clearances.
-   Follow up consistently with new hires to ensure outstanding documentation is completed.
-   Monitor onboarding progress and ensure new hires remain on schedule.
-   Track required training and follow up on incomplete training.
-   Enrol new employees onto relevant company systems, including:

-   Scheduling platforms
-   Data/clinical platforms
-   Payroll systems
-   Email and communication systems

-   Ensure new hires have the appropriate access and information before starting their role.
-   Act as the primary point of contact for new hires during their first few weeks.
-   Respond to onboarding questions via phone, email, and text.
-   Provide clear guidance and support throughout the onboarding process.
-   Maintain accurate onboarding records and ensure nothing falls through the cracks.
-   Identify bottlenecks, delays, or recurring issues within the onboarding process.
-   Work with the wider team to improve onboarding processes and create a smoother new-hire experience.
-   Assist with general HR and administrative tasks related to onboarding as required.

## Requirements

-   Previous experience in onboarding, HR administration, healthcare administration, recruitment coordination, or a similar administrative role is advantageous.
-   Experience within healthcare, ABA, behavioural health, or a clinical environment is a plus.
-   Exceptional organisational and time-management skills.
-   Strong follow-up and follow-through — nothing slips through the cracks.
-   Excellent attention to detail and accuracy.
-   Warm, professional, and confident communication skills.
-   Comfortable communicating with people via phone, email, and text.
-   Strong computer literacy.
-   Comfortable learning and navigating new software and systems quickly.
-   Ability to manage multiple new hires and onboarding processes simultaneously.
-   Self-motivated and able to work independently in a remote environment.
-   Professional, friendly, approachable, and solutions-focused personality.
