**ROLE TITLE**

Construction Project Manager VA (Operations & Project Coordination)

**ROLE SUMMARY**

You serve as the operational link between on-site project activity and project visibility across a US-based general contracting business.  

This is not a passive monitoring role. Your responsibility is to ensure that field execution, stakeholder communication, and project records remain aligned at all times inside JobTread.

On a daily basis, you will encounter:

-   conflicting information from the field
-   vendor delays and logistics challenges
-   outdated schedules
-   incomplete project records
-   changing jobsite conditions

Your role is to identify and address these issues before they create schedule disruptions, communication gaps, or operational inefficiencies.

This position requires initiative. Waiting for direction before responding to project issues creates risk rather than reducing it.

**CORE RESPONSIBILITIES (REAL-WORLD EXECUTION)**

**1\. Project Coordination (TIMELINE & PROGRESS MANAGEMENT)**

-   Monitor active project schedules and compare planned milestones against actual field progress
-   Assess schedule impacts when delays occur and communicate revised expectations promptly
-   Obtain missing information from superintendents, vendors, and stakeholders without being prompted
-   Address unclear project status updates before they develop into larger scheduling issues

**2\. JobTread Administration (PROJECT DATA ACCURACY)**

-   Maintain JobTread as the primary and most accurate project management system
-   Update incomplete, outdated, or conflicting information as soon as discrepancies are identified
-   Verify and reconcile differences between field activity and system records
-   Ensure budgets, schedules, RFIs, change orders, and project documentation reflect current jobsite conditions

**3\. Field Communication & Coordination (INFORMATION ALIGNMENT)**

-   Act as the communication bridge between Project Managers, superintendents, subcontractors, and field teams
-   Clarify inconsistent reports by communicating directly with involved parties
-   Close information gaps when updates are delayed, incomplete, or unclear
-   Escalate issues only when coordination efforts cannot resolve them operationally

**4\. Vendor Coordination & Logistics (FOLLOW-THROUGH OWNERSHIP)**

-   Proactively communicate with vendors regarding deliveries, lead times, and constraints
-   Follow up consistently on pending deliveries and schedule commitments
-   Coordinate material arrivals with actual site readiness
-   Reduce disruptions caused by delivery timing conflicts or logistical delays

**5\. Permit & Compliance Administration (STATUS TRACKING)**

-   Monitor permits and approvals from submission through final issuance
-   Follow up with agencies and stakeholders to obtain status updates
-   Maintain organized compliance records and supporting documentation
-   Identify and communicate risks when approval delays may impact project schedules

**6\. Reporting & Documentation (PROJECT VISIBILITY)**

-   Prepare project progress reports using current field information
-   Resolve documentation gaps to maintain reporting accuracy
-   Maintain organized records including safety documentation, equipment logs, and project files

**7\. Schedule Management (EXECUTION ALIGNMENT)**

-   Update master schedules as project conditions evolve
-   Identify variances between planned activities and actual site progress
-   Prevent scheduling conflicts from creating downstream operational impacts

**REQUIREMENTS (NON-NEGOTIABLE)**

-   Previous experience in Construction Project Management, Project Coordination, or Construction Operations
-   Strong understanding of construction sequencing and project lifecycle execution
-   Ability to review and interpret architectural, structural, and MEP plans
-   Demonstrated ability to resolve coordination issues independently
-   Comfortable working with minimal supervision
-   Able to make timely operational decisions without excessive approval dependency
-   Strong verbal and written communication skills in fast-moving environments
-   Candidates who require highly structured daily task lists are unlikely to succeed in this role

-   Availability during US business hours required for coordination overlap

-   Asynchronous work is acceptable, but responsiveness during active coordination periods is essential
