You’ll take the administrative and coordination workload off our Sales and Marketing teams so they can focus on customers, partners and being onsite at events. **The Opportunity**

You’ll be the operational backbone of our global events program — conferences, trade shows, customer events, webinars and field marketing across Australia, North America and Canada. Working Australian hours and days, you’ll own the planning, coordination and administration that happens before and after every event, so the local team only has to turn up and execute.

**Your responsibilities will include:**

• Event planning and project management — end-to-end timelines, milestones and checklists for every event in the global program.

• Venue, supplier and partner coordination — sourcing, contracting and liaising with venues, caterers, AV, freight and event partners.

• Registrations and attendee management — building and managing registration pages, attendee lists, confirmations and badges.

• Marketing collateral coordination — briefing and producing brochures, banners, signage, pull- up banners and digital assets with the design team.

• Shipping and logistics planning — coordinating booth freight, collateral and giveaway shipments across regions, including customs documentation.

• Budget tracking and purchase coordination — raising POs, tracking event spend against budget, reconciling invoices and reporting variances.

• Speaker and exhibitor coordination — managing speaker briefs, bios, headshots, presentations and exhibitor portal admin.

• Event checklists and run sheets — building and maintaining pre-event, onsite and post-event checklists and detailed run sheets for local teams.

• Post-event follow-up and reporting (ROI) — lead capture reconciliation, ROI analysis, post- event surveys and debrief documentation.

**What stays with the local teams**

This role is designed to take the admin and coordination workload off Sales and Marketing — not to replace onsite presence. The following activities remain with the local, in-country team:

• Onsite event execution — booth setup and pack-down, staffing the stand, greeting customers and prospects.

• Physical logistics at the venue — moving freight, unpacking, installing signage and AV on the day.

• In-person relationship management — working the room, hosting dinners, walking prospects through demos.

• Local market knowledge — on-the-ground judgement on positioning, competitors and partner dynamics.

• Same-day problem solving — anything that needs a physical presence or a local decision on event day.

In short: you make sure everything is ready and accounted for before the team arrives, and you capture the results and learnings after they leave.

**Working hours and public holidays**

This is a full-time role, 40 hours per week, based in the Philippines.

You will work Australian business hours and days (Monday to Friday, AEST/AEDT). This is essential — you need to be online and available when the Australian Sales and Marketing team is working.

Floating public holidays apply. Where an Australian public holiday falls on a working day, you will take that day off (or an alternative day by agreement) so your working calendar stays aligned with the Australian team. Philippine public holidays are observed only where they coincide with the Australian calendar.

## Requirements

**What we’re looking for**

• 2+ years in events coordination, event management or marketing operations — ideally supporting events across multiple regions or time zones.

• Proven experience managing the full event lifecycle: planning, registrations, logistics, run sheets and post-event reporting.

• Highly organised and detail-obsessed — you live by checklists, run sheets and project plans.

• Strong written and spoken English — you’ll be liaising with venues, partners and internal teams across AU, NA and CA every day.

• Comfortable working remotely and asynchronously with a global team, and happy to overlap Australian hours.

• Confident with tools — Google Workspace, project management tools (Asana, Monday, ClickUp or similar), and event/registration platforms.

• Comfortable using AI tools to speed up drafting, scheduling, attendee comms and reporting.

• Calm under pressure and able to juggle multiple events at different stages at once.

**Bonus points**

• Experience in B2B SaaS or healthcare technology events.

• Experience with international shipping, customs documentation and freight forwarders.

• Experience supporting trade show / exhibition programs specifically.

• Familiarity with HubSpot or a comparable CRM/marketing platform.

• Take ownership of the end-to-end admin and coordination for every event in the global program.

• Reduce the time Sales and Marketing spend on event admin so they can focus on customers and onsite execution.

• Build a repeatable event playbook — templates, checklists, run sheets and budgets that work across regions.

• Deliver clean post-event ROI reporting and debriefs within one week of every event.

• Hit zero missed deadlines — freight booked on time, registrations open on time, collateral ready on time.
