**About the Role**

We are looking for a highly organized, detail-oriented, and professional Virtual Medical Front Desk Assistant to support a busy orthopedic spine surgery practice in Beverly Hills, California.

This role is focused on making sure patients are fully prepared before their appointments, whether in-person or via telehealth. You will be proactive and persistent in following up with patients to collect missing documentation, insurance information, imaging studies, and completed intake forms.

This is a patient-facing role. You must have excellent communication skills, a polished phone presence, and strong attention to detail. We are looking for someone with excellent spoken English, strong grammar, and little to no noticeable accent who can confidently communicate with and represent the practice professionally.

Candidates with experience in orthopedics, spine, neurosurgery, pain management, workers compensation, or personal injury are highly preferred.  
  
**Primary Responsibilities**

**Patient Appointment Preparation**  
› Confirm upcoming patient appointments  
› Contact patients to ensure all required information is received prior to their visit  
› Follow up on incomplete patient registration items  
› Ensure patients are prepared for both in-person and telehealth appointments  
› Maintain consistent communication with patients leading up to appointments

**Insurance Verification and Eligibility**  
› Verify PPO and HMO insurance eligibility and benefits  
› Confirm insurance coverage prior to appointments  
› Identify missing or incorrect insurance information  
› Document eligibility findings accurately within DrChrono

**Patient Intake and Documentation Collection**  
› Obtain and upload insurance cards, photo identification, and imaging reports  
› Follow up with patients to complete new patient paperwork  
› Collect required documentation for consultations and follow-up visits  
› Ensure patient charts are complete and organized before appointments

**Telehealth Visit Coordination**  
› Gather all required information and documentation for telehealth appointments  
› Ensure patients understand telehealth requirements and instructions  
› Assist with appointment readiness and scheduling coordination

**Front Desk Support**  
› Handle overflow inbound and outbound patient calls  
› Assist with general front desk administrative tasks  
› Provide excellent customer service and patient communication  
› Support office workflow and scheduling operations as needed

**Workers Compensation and Personal Injury Support**  
› Assist with workers comp and personal injury documentation as needed  
› Obtain required paperwork and records  
› Support case-related administrative workflows when assigned

## Requirements

-   Minimum 2 to 3 years of medical front office, medical receptionist, or patient coordinator experience
-   Excellent spoken and written English
-   Minimal to no noticeable accent
-   Strong grammar, spelling, and communication skills
-   Professional and confident phone presence
-   Experience handling patient scheduling and appointment coordination
-   Knowledge of insurance verification and eligibility processes
-   Strong organizational and multitasking abilities
-   Comfortable working independently in a remote environment
