## Description

As a Business Operations / GTM Assistant, you will be the operational backbone of a fast-growing, AI-forward tech company - keeping contracts, payments, CRM data, and vendor relationships running accurately and on time, while building the systems that make repeatable work disappear.

This is a cross-functional support role split between Business Operations (contracts, billing, payments, security tracking, SOPs, and HR updates) and GTM/Sales support (HubSpot CRM hygiene, deal pipeline management, outbound support, and reporting). You will work directly alongside the Business Operations Lead and the Head of Partnerships and Growth, owning many concurrent workflows independently with minimal oversight.

The ideal candidate is a sharp, organized generalist who has thrived in startup environments - someone who closes loops without being chased, asks the right questions before diving in, and is hungry to learn and own new areas of the business every week.

**Responsibilities**

-   Send contracts and agreements for signature; track status and file signed copies to the correct customer record
-   Keep contract and agreement templates current as requirements evolve
-   Process vendor and ad hoc invoice payments; monitor and resolve failed payments daily
-   Track referral and partner payments
-   Confirm billing and subscription systems are updated on customer offboarding; coordinate related tickets
-   Manage recurring vendor/partner billing and monthly cost-allocation reporting for accurate P&L reporting
-   Process weekly reimbursements and coordinate company card issuance and requests
-   Track and incorporate HR policy updates (e.g., state law compliance, employee handbook updates)
-   Document SOPs and identify where AI or automation could take over manual work

## Requirements

-   1–3+ years of experience in business operations, sales operations, executive support, or a similar cross-functional role.
-   Strong organizational skills - owns many concurrent, detail-heavy workflows without dropping things.
-   Experience handling invoicing, billing, or vendor payment processing accurately and with discretion.
-   CRM fluency - keeps HubSpot (or similar) clean and current, or learns fast.
-   Ability to manage the contract signature process end to end.
-   Clear, professional written English communication - for internal coordination and external follow-ups.
-   Proactive follow-through - closes the loop without being asked.
-   Comfort working across multiple tools: CRM, payments, HR systems, and contracts simultaneously.
-   AI-forward mindset - motivated to use AI tools to eliminate repetitive manual work.
-   Comfortable working independently in a fast-paced startup environment with shifting priorities.

**Preferred Qualifications**

-   HubSpot CRM experience - creating and maintaining deals, contacts, and pipeline attribution.
-   Hands-on experience with billing or payment platforms such as Stripe or Ramp.
-   BDR or SDR background - helpful for supporting the GTM and outbound side of the role.
-   Experience building SOPs or internal process documentation.
-   Background in cross-functional roles: project management, merchandising operations, logistics, or startup executive support.
-   Demonstrated use of AI tools (ChatGPT, Claude, or similar) to streamline or automate daily workflows.

**Salary:** $1,500 - 2,500 USD per month
