**Job Description:**

The Admissions Operations Assistant provides administrative and operational support to the Enrollment Division and plays an important role in ensuring the efficient day-to-day operations of the Admissions Department. Responsibilities include maintaining accurate student records, processing admissions materials, supporting office mailings, and completing routine data entry and document management tasks. The position follows established procedures and works under the direction of Admissions leadership to provide consistent and reliable operational support. While the position may work with systems such as Slate and Banner, it is not responsible for the overall administration, configuration, or strategic management of these systems. Success in this role requires reliability, accuracy, discretion, strong attention to detail, and a willingness to support both technology-based initiatives and hands-on office operations.

**Job Responsibilities:**

-   Provide general administrative and operational support UMSV’s Graduate and Undergraduate Admissions teams.
-   Process, organize, scan, file, and appropriately dispose of admissions documents and other office materials, including confidential document shredding.
-   Assist with incoming and outgoing email, physical mail, admissions mailings, acceptance materials, event materials, and other large-scale communication projects.
-   Sort, review, clean, and organize Excel spreadsheets and other data files.
-   Perform routine data entry and record maintenance in Slate, Banner, and other university systems.
-   Review student records for completeness and assist with identifying missing or incorrectly entered information.
-   Upload, match, and organize application materials and supporting documents within student records.
-   Assist with routine Slate operational tasks, queries, exports, and data cleanup as assigned.
-   Support data reconciliation between Slate, Banner, spreadsheets, and other institutional records.
-   Conduct secondary reviews of admission applications and supporting materials when trained and assigned.
-   Assist with processing transcripts and other admissions credentials in accordance with established office procedures including their evaluation and upload
-   Prepare materials for recruitment events, campus visits, admitted student programs, and other Admissions initiatives.
-   Assemble packets, labels, envelopes, giveaway materials, and other supplies for

**Admissions programs and communications**

-   Support audits and data-quality projects to ensure admissions records are accurate and complete.
-   Perform other administrative and operational duties as assigned to support the day-to-day functions of Admissions.

## Requirements

-   Associate degree or higher required. Candidates with a high school diploma with equivalent and relevant experience in CRM systems, database management, or related administrative operations will also be considered.
-   Strong organizational skills and attention to detail.
-   Ability to accurately complete administrative and data-entry tasks.
-   Basic proficiency with Microsoft Office, particularly Excel, Outlook, and Word.
-   Comfort learning and working within database and technology systems, spreadsheets, and able to manage repetitive administrative tasks with a high degree of accuracy.
-   Ability to handle confidential student information with discretion and in accordance with university policies.
-   Previous experience with Slate, Banner, or other higher education student information or CRM systems is preferred but not required.

## Benefits

**The allotted hourly rate is $26.50.**
