> Western Montana Roofing · Missoula, United States · Full-time · Posted 2026-11-05

**Salary:** USD 52,000–65,000

**Workplace:** on_site

**Department:** Admin

## Description

Western Montana Roofing is looking for an experienced, detail-driven bookkeeper to own the

day-to-day accounting function for a multi-market roofing contractor serving Missoula,

Great Falls, Helena, and Kalispell, along with its affiliated Billings company. This is a full-cycle

position covering both entities: you will manage accounts payable, accounts receivable,

payroll, bank, balance sheet, and intercompany reconciliations, and — most importantly —

accurate job costing that tells leadership what each project actually earned.

You will work closely with operations, project managers, and field crews, and coordinate with

our fractional CFO and outside CPA firm. The right person understands that in construction,

clean books start in the field: correct cost codes, timely time entry, and complete

documentation.

## Requirements

Job Costing

▪ Maintain the job cost structure in QuickBooks Online Advanced, including projects, cost

codes, and classes/locations by market.

▪ Ensure every labor, material, subcontractor, equipment, and overhead cost is coded to

the correct job and phase; follow up with field and purchasing staff on missing or

miscoded items.

▪ Allocate labor costs from crew time data (Workyard) to jobs, including burden (payroll

taxes, workers’ compensation, benefits) at established rates.

▪ Track change orders, supplements, and contract revisions so revenue and budget stay

aligned with the job.

▪ Produce job profitability, budget-vs-actual, and gross margin reports by job, market, and

crew; flag overruns early.

Accounts Payable

▪ Process vendor and subcontractor bills with job and cost-code coding; match to

purchase orders, delivery tickets, and supplier statements.

▪ Manage payment runs and cash timing in coordination with leadership; maintain

approval controls.

▪ Collect and track W-9s, certificates of insurance, and lien waivers from subcontractors

and suppliers before payment.

▪ Reconcile major supplier accounts (e.g., roofing distributors) monthly and resolve pricing,

credit, and return discrepancies.

▪ Prepare and file annual 1099s.

Accounts Receivable & Billing

▪ Generate customer invoices — deposits, progress billings, final invoices, and change

orders — in coordination with the CRM/project system (AccuLynx).

▪ Apply customer, insurance, and financing payments accurately, including multi-party

checks and deductibles.

▪ Manage retainage tracking and release where applicable.

▪ Maintain AR aging, perform collections follow-up, and escalate past-due accounts and

lien deadlines.

▪ Prepare and record bank deposits and reconcile merchant processing activity.

Payroll

▪ Process payroll in QuickBooks Online Payroll for field and office staff across all markets

and both entities, including hourly, overtime, and per diem.

▪ Review and approve crew time in Workyard before each payroll run, verify job and cost-

code assignments, and resolve exceptions with crew leads.

▪ Administer deductions, garnishments, PTO, and benefit withholdings; maintain employee

payroll records.

▪ Ensure accurate federal and Montana tax withholding, unemployment insurance, and

new-hire reporting; reconcile quarterly filings (941, Montana UI and withholding) and

year-end W-2s.

▪ Support workers’ compensation reporting and annual audits, including correct job-class

coding of payroll.

▪ Prepare certified payroll reports (WH-347) for prevailing-wage projects when required.

Reconciliations & Month-End Close

▪ Reconcile all bank, credit card, and loan accounts monthly, on a defined close calendar.

▪ Reconcile balance sheet accounts: AR, AP, payroll liabilities, prepaid expenses, accruals,

fixed assets, and job cost clearing accounts.

▪ Record month-end adjusting entries, accruals, and depreciation.

▪ Record and reconcile intercompany transactions between Western Montana Roofing and

the Billings company — shared expenses, payroll allocations, advances, and due-to/due-

from balances — so both sets of books tie out each month.

▪ Deliver a monthly financial package for each entity — P&L by market, balance sheet, cash

summary, AR/AP aging, and job profitability.

Compliance, Controls & Support

▪ Follow and help maintain written accounting procedures and internal controls, including

segregation of duties where practical.

▪ Prepare year-end schedules and support requests for the outside CPA firm for both

entities.

▪ Track vehicle, equipment, and insurance renewals, business licenses, and contractor

registrations as assigned.

▪ Identify process improvements and help keep integrations between QuickBooks,

Workyard, and AccuLynx working accurately.
