**Job Summary** 

The Program Operations Associate is a cross-functional role that supports the administrative and operational needs of the Program team, with a focus on enabling effective coordination across AmeriCorps and Department of Labor contract work, Network Engagement, grants management, and organization-wide convenings and events. 

This role is designed to increase efficiency, alignment, and execution across multiple program departments by providing project coordination, logistical support, and systems management. The Operations Associate plays a key role in ensuring that teams are well-organized, deadlines are met, and events and initiatives run smoothly. 

This position supports the full Program team (DOL Program Impact, AmeriCorps, Network Engagement) and its leaders, including network convenings and cross-department initiatives. The role requires strong organization, sound judgment, clear communication, and the ability to manage multiple priorities in a collaborative, fast-paced environment. 

**Essential Duties / Responsibilities** 

Program Operations & Coordination 

-   Provide day-to-day administrative and coordination support across Program departments, including DOL Program Impact, AmeriCorps, and Network Engagement. 

-   Track deliverables, timelines, and milestones across projects and track follow-through on key deadlines for program leaders. 

-   Coordinate internal workflows, meetings, and communications to keep work aligned across teams. 

-   Maintain documentation, trackers, shared tools, and files to support efficient program operations. 

-   Support grant- and contract-related administrative needs and other operational priorities as assigned. 

Cross-Departmental Support 

-   Serve as a coordination point across program teams and help maintain alignment of priorities and timelines. 

-   Support onboarding, internal communication flows, and cross-team process improvements. 

-   Help streamline recurring processes, including quarterly standups, program dashboards, and Quarterly Trends meetings, among others. 

-   Contribute to strong collaboration across the broader Program team. 

Systems & Process Management 

-   Support shared systems and tools, including Microsoft 365, trackers, and file systems. 

-   Identify opportunities to improve workflows, documentation practices, and team organization leading to greater impact. 

-   Support data tracking and reporting needs across programmatic initiatives. 

-   Promote consistency and accuracy in documentation and administrative processes. 

Event & Convening Support 

-   Coordinate logistics for convenings, trainings, and events, in-person, hybrid, and virtual.  

-   Manage scheduling, vendors, materials, participant communications, and other event operations. 

-   Support the development of run-of-show materials and execution of meetings and convenings. 

-   Track participation and support post-event follow-up, documentation, and next steps. 

Responsible and Effective Use of AI Tools 

-   Utilize AI tools responsibly, ethically, and effectively in alignment with YouthBuild Global’s AI Acceptable Use Policy.   

-   Ensure the accuracy, confidentiality, and appropriate use of AI-generated content in internal and external communications, documents, and materials. 

-   Identify, document, and share effective practices for using AI tools to improve efficiency, collaboration, and program operations.

Works closely with: 

-   DOL Program Impact team 

-   Network Engagement team 

-   AmeriCorps team 

-   Workforce Development / Career Pathways team 

-   Events and convenings leads

## Requirements

Education & Experience Required 

-   2-3+ years of relevant experience in operations, coordination, administration, and/or program support. 

-   Experience supporting multiple teams, projects, or departments in a fast-paced environment. 

-   Strong organizational and project management skills with excellent attention to detail. 

-   Experience supporting events, trainings, or convenings. 

-   Familiarity with Microsoft 365 and other collaboration and tracking tools. 

-   Familiarly with AI tools and a willingness to learn in an evolving space.

Physical Effort 

This role may require occasional lifting of materials for events and convenings and periodic support for in-person meetings or travel-related logistics.
